1. Introduction

AI Automation Toolbox provides a platform for AI-assisted work, workflows, scheduled automations, business tools, connected services, data tools, and related operational utilities. This Policy applies to information processed through the website and platform at aiautomationtoolboxes.com.

Because users can connect third-party services and configure automations, the information processed by the platform depends on how each user configures their account, workspace, integrations, workflows, and AI settings.

2. Information We Collect

Information Users Provide

We may collect information you provide directly, such as your name, email address, company name, login credentials, support messages, workspace settings, uploaded files, imported workflow data, variables, forms, notes, CRM records, accounting records, calendar-related information, and other content you choose to enter.

Account Information

Account information may include user profile details, workspace membership, plan selection, account status, authentication information, settings, preferences, and usage history needed to operate your account.

Billing-Related Information

We may process billing status, selected plan, subscription or purchase identifiers, payment-provider transaction references, checkout state, invoices or receipts where applicable, and related billing metadata. Payment details may be processed by third-party providers such as PayPal or other supported processors. We do not need your PayPal password to operate checkout, and we do not claim to directly store full card numbers unless a specific payment flow expressly states otherwise.

3. AI Prompts, Messages, Workflows, and Automation Data

The Service may process AI prompts, chat messages, AI responses, workflow definitions, imported workflow files, schedules, run history, step inputs and outputs, logs, automation results, agent instructions, generated content, uploaded files, and data from connected tools. This information is used to provide AI features, execute automations, display run status, troubleshoot errors, maintain records, and improve the platform.

AI prompts and outputs may include personal information or confidential business information if you choose to include it. You are responsible for deciding what information to submit to AI features and automations.

4. Integration, OAuth, and Connected Account Information

When you connect third-party services, we may process information needed to authenticate, maintain, and use those connections. This may include OAuth authorization data, access tokens, refresh tokens, account identifiers, email addresses, mailbox data, calendar data, CRM records, accounting data, files, social media profiles, domain or DNS records, hosting-related information, payment-provider metadata, financial integration data, and other provider data required for the features you enable.

Connected account data is different from platform account data. Platform account data identifies and manages your AI Automation Toolbox account. Connected account data comes from services you authorize or configure, such as Google, Microsoft, email services, payment providers, financial tools, CRM systems, accounting systems, social media platforms, hosting providers, domain providers, or other third-party APIs.

If you revoke an OAuth connection at the provider or disconnect it in AI Automation Toolbox, future access may stop, but prior records, logs, outputs, or backups may remain for legitimate operational, security, legal, or recordkeeping purposes unless deleted according to applicable controls or requirements.

5. Automatically Collected Information

We may collect technical and usage information such as IP address, browser type, device information, operating system, pages viewed, referring URLs, approximate timestamps, session information, request metadata, error logs, security events, API usage, automation run events, and diagnostic information.

This information helps provide the Service, authenticate users, protect accounts, prevent abuse, diagnose errors, monitor performance, maintain security, and improve reliability.

6. How Information Is Used

We use information to provide, operate, maintain, secure, and improve AI Automation Toolbox. This includes:

  • Creating and managing accounts, workspaces, plans, sessions, and authentication.
  • Running AI chat, AI agents, workflow steps, scheduled automations, and user-configured actions.
  • Sending prompts, files, instructions, or related context to AI providers or infrastructure when needed for requested AI processing.
  • Connecting to third-party services and transmitting information needed to execute requested actions.
  • Displaying workflow run history, status, logs, results, and troubleshooting information.
  • Processing billing status, subscriptions, payment-provider callbacks, and account activation.
  • Providing customer support and responding to requests.
  • Improving features, usability, performance, security, and reliability.
  • Detecting, preventing, and investigating fraud, abuse, unauthorized access, policy violations, and security incidents.
  • Complying with legal, tax, accounting, dispute-resolution, and regulatory obligations.

7. Third-Party Service Providers

We may share information with service providers and infrastructure providers that help us operate the Service, such as hosting, storage, email delivery, payment processing, analytics or diagnostics, security, customer support, AI processing, and connected application providers. These providers may process information only as needed to provide their services or as otherwise permitted by their own terms and applicable law.

AI Providers

If you use your own AI provider key, prompts, files, outputs, metadata, and usage information sent through that provider are subject to the provider's terms and privacy practices. If you use built-in or managed AI, AI processing may involve AI infrastructure or providers selected by AI Automation Toolbox to deliver the requested feature.

Payment Providers

Payment providers process payment information, checkout approvals, subscription updates, one-time purchases, disputes, refunds, and payment status. Their privacy policies and terms apply to payment information they collect and process.

Connected Applications

When you connect or use a third-party application, information may be transmitted to or received from that application so AI Automation Toolbox can perform the actions you request or configure. The connected application's own terms, privacy policy, permissions, limits, and data practices also apply.

8. Data Sharing and Data We Do Not Sell

We may share information with service providers, AI providers, payment providers, connected applications, legal or compliance recipients, security partners, and other parties when necessary to provide the Service, carry out your instructions, protect users or the platform, comply with law, resolve disputes, or complete a business transaction such as a merger, acquisition, financing, or asset transfer.

AI Automation Toolbox does not sell users' personal information in the conventional sense. We do not claim that no information is ever shared: information may need to be transmitted to providers selected, connected, or used by you, and to service providers we use to operate the platform.

9. Data Retention

We retain information for as long as reasonably needed to provide the Service, maintain accounts, run automations, support billing, comply with legal obligations, resolve disputes, enforce agreements, prevent abuse, maintain backups, and preserve security or audit records.

Different categories of information may have different retention periods. For example, account records, billing records, workflow history, logs, OAuth connection records, automation outputs, support requests, and security events may be retained for different operational or legal reasons. Deleting or disconnecting one category of data may not immediately delete all related logs, backups, billing records, or third-party provider records.

10. Security

We use administrative, technical, and operational safeguards intended to protect information and maintain platform security. No system is completely secure, and we cannot guarantee that unauthorized access, loss, misuse, or interruption will never occur.

You are responsible for using strong passwords, protecting account access, limiting who can use your workspace, reviewing connected services, monitoring automations, protecting your own API keys, and revoking access that is no longer needed.

This Policy does not claim any unverified certification such as SOC 2, HIPAA, PCI certification, GDPR certification, ISO certification, or similar status.

11. User Choices and Controls

You may be able to update account information, change settings, manage subscriptions, disconnect integrations, revoke OAuth access, delete certain records, or request account deletion depending on the available controls and your plan.

You can often revoke OAuth access directly through the connected provider, such as Google, Microsoft, Meta, or another service, and you may also be able to disconnect services within AI Automation Toolbox. Revoking a connection may prevent future automation runs or feature access that depends on that service.

To request account deletion or other privacy assistance, contact darin@aiautomationtoolbox.com. We may need to verify your identity and may retain certain information where required or permitted for billing, legal, security, backup, fraud-prevention, or dispute-resolution purposes.

12. Cookies and Session Technologies

We may use cookies, sessions, local storage, and similar technologies to keep you signed in, protect forms, remember settings, operate checkout, measure usage, prevent abuse, and improve the Service. Browser settings may let you block or delete cookies, but some features may not work correctly without them.

13. Children's Privacy

The Service is not directed to children under 13, and children under 13 may not use the Service. If you believe a child has provided personal information to AI Automation Toolbox, contact us so we can review and take appropriate action.

14. US, State, and International Privacy Considerations

Depending on where you live, you may have rights to access, correct, delete, or receive information about certain personal information, or to object to or limit certain processing. We will respond to applicable privacy requests as required by law.

AI Automation Toolbox is available online and may process information using infrastructure, service providers, AI providers, payment providers, or connected applications located in different regions. By using the Service and connecting providers, information may be transferred to, stored in, or processed in locations outside your state, province, or country. We do not make unsupported claims of certification or participation in any specific international transfer framework.

15. Changes to this Policy and Contact Information

We may update this Privacy Policy from time to time. The updated version will be posted on this page with a revised Last Updated date. Continued use of the Service after an update means the updated Policy applies to future use of the Service.
